Recording transactions: income, expenses, transfers, and checks

Every entry in Gracely Accounting is one of four types. Here's when to use each and how to record it.

Every entry in Gracely Accounting is one of four types. Here's when to use each and how to record it.

Where transactions live

Go to Accounting → Accounts, open an account, and you'll see its Transactions list. Every entry shows the date, payee, fund, category, and amount, with a running balance.

The four types

Income. Money coming in that isn't online giving. Rent from the fellowship hall, a fundraiser, a bank interest payment. Online and recorded giving flows in automatically from your connected funds, so you don't enter it twice.

Expense. Money going out. The electric bill, supplies, a repair.

Transfer. Moving money without spending it. Between two accounts (checking to savings) or between two funds (General to Building). The total doesn't change, only where it sits or what it's set aside for.

Check. An expense paid by check. Same as an expense, plus the check number, so you can find it later.

How to add an entry

  1. Open the account and click Add entry.

  2. Pick the type.

  3. Fill in the date, fund, category, payee, and amount.

  4. Add a note if it helps future you.

  5. Save.

Tips

  • Always pick the right fund. It takes one second and keeps your fund balances true.

  • Set default categories on your regular payees so entries fill in faster.

  • Enter things weekly. Ten minutes a week beats three hours at month end.
