Connecting your bank account and syncing transactions

Link a bank account through Stripe, pull its transactions into Gracely Accounting, and review each one before it lands in your books.

Connect a bank account to Gracely and pull its transactions straight into your books, so your records always match what the bank says.

⚠️ Note: Accounting is a Pro plan feature. Bank sync works with banks in the United States.

How it works

Gracely uses Stripe Financial Connections to link your bank. You sign in to your bank through Stripe's secure window; Gracely never sees your bank login. Stripe then shares your account's balance and transaction history with Gracely (read-only), and you decide which transactions to add to your books.

  • Each Gracely account can be linked to one bank account, and each bank account can be linked to one Gracely account.

  • Gracely pulls transactions from the last 180 days, or from the account's opening date if that is more recent.

  • Nothing is added to your books automatically. Every synced transaction goes through a review step first, so you stay in control.

Step 1: Connect your bank

  1. Go to Accounting → Accounts.

  2. Find the account you want to link and click Connect. You can also open the account and choose Connect bank account from its menu, or use Connect bank account from the Add menu on the Register page.

  3. Read the short intro and click Connect bank accounts.

  4. In Stripe's window, choose your bank, sign in, and select one account to share.

  5. Back in Gracely you'll see Your account is now connected. Click Sync Transactions to fetch transactions right away, or Close to do it later.

The account now shows Connected with the bank name and the last four digits of the account number.

💡 Tip: Don't have the account in Gracely yet? Create it first with Add account, using the bank's opening balance and date, then connect it.

⚠️ Note: If you select more than one bank account in Stripe's window, Gracely won't know which one to link and will ask you to try again with just one.

Step 2: Sync transactions

  1. Go to Accounting → Accounts and click Sync next to a connected account. You can also open the account and click Sync now.

  2. Gracely fetches the latest transactions and opens the Review transactions window.

Sync whenever you like. Each sync shows what's new since your last one, alongside anything you haven't dealt with yet.

💡 Tip: Right after connecting, Stripe may still be fetching history from your bank. If Gracely tells you it's still fetching, wait a moment and sync again.

Step 3: Review transactions

The review window shows three numbers at the top:

  • Your records — the account balance in Gracely.

  • Bank says — the balance at the bank.

  • Difference — the gap between the two. As you add transactions, it shrinks.

Transactions are grouped into three tabs:

  • Needs Review — new transactions from the bank you haven't handled yet.

  • Reviewed — transactions you've added, plus ones already in your books (marked Matched).

  • Skipped — transactions you chose not to add.

For each transaction in Needs Review:

  1. Choose a fund. Your general fund is pre-selected so you can move quickly.

  2. Optionally choose a category to explain what the money was for.

  3. Click Add to include it, or Skip if it doesn't belong in your books.

Money coming in becomes an income entry; money going out becomes an expense entry. Only transactions the bank has finished processing appear; pending ones show up on a later sync.

When you're done, click Done reviewing. Gracely creates the entries in your register and updates the account balance.

⚠️ Note: If you close the window with added transactions that haven't been saved, Gracely will ask you to confirm. Click Keep reviewing to go back.

Splitting a transaction

If one bank transaction covers several funds or categories, for example a deposit that includes both tithes and a building fund gift:

  1. Click Split on the transaction.

  2. Add a line for each part and choose its fund, category, and amount.

  3. Make sure the lines add up to the full amount, then click Save split.

Changing your mind

Click the ⋯ menu on an added or skipped transaction and choose Undo to move it back to Needs Review.

No double entries

Gracely remembers which bank transactions you've already added. If the same transaction comes back in a later sync, it shows as Matched and can't be added twice.

⚠️ Note: If a fund is connected to this account, gifts through Gracely Giving already flow into your books. When your bank deposit for those gifts shows up in the review list, Skip it rather than adding it again. See Connecting giving to accounting.

Disconnecting a bank

  1. Go to Accounting → Accounts.

  2. Open the ⋯ menu on the account and choose Disconnect account. From the account page, choose Disconnect bank account.

  3. Confirm.

The account and everything you've already added stay in Gracely; new transactions simply stop coming in. You can reconnect any time by authorizing the bank again.

Deleting an account also disconnects its bank.

Troubleshooting

"…is no longer connected — access was revoked at the bank."

Access was removed on the bank's side. Click Connect and authorize again.

"…needs authorizing again before it can sync."

Your bank asked for a fresh sign-in. Disconnect the account and connect it again.

"…could not be reached."

The bank was temporarily unavailable. Sync again later.

The Connect button isn't there.

Bank sync is rolling out gradually. If you don't see it yet, start a chat with us.
