Attendance Reports: see who came, headcounts and who you haven't seen

An overview of Calendar → Reports: the Attendees, Headcounts and Not seen recently reports, their filters and how to export them.

Attendance Reports turns your check-ins and headcounts into three reports: who came to each event, headcounts over time, and the people you haven't seen in a while. You can filter each report and export it as a PDF or CSV.

Open Attendance Reports

  1. In the left sidebar, open Calendar.

  2. Click Reports.

The page opens on the Attendees tab. Switch between the three reports with the tabs at the top:

  • Attendees: who came, day by day and event by event. See Attendees report.

  • Headcounts: the total for every occurrence of each event, with an average. See Headcounts report.

  • Not seen recently: people who used to come but haven't checked in for 2 weeks or more. See Not seen recently.

Filter a report

Use the filters next to the tabs.

  • Period. The default is Last week, which runs Monday to Sunday. You can also choose Month of (this month), Last 3 months, Year of (this year), or Custom time frame… to pick a Starting date and Ending date and click Show. Dates follow your church's time zone.

  • Attendee type. Choose All attendees, Only members, or Only visitors. Only members means everyone who isn't marked as a visitor, including children.

  • Event. Choose All events, or Specific event… to pick one event in Filter by specific event. Every occurrence of a recurring event is included, within the period you picked.

💡 Tip: The Not seen recently report always looks at all attendance history up to today, so the period filter is turned off on that tab.

Export a report

  1. Set the tab and filters you want.

  2. Click Export.

  3. Under Export as…, choose PDF or Excel file (CSV).

  4. Click Export.

The export includes everything that matches your filters, not just the page you're looking at. The PDF has your church name, the report name and the filters at the top, so it's ready to share with your leadership team.

Where the numbers come from

  • Check-ins come from the event's check-in screen, Kiosk Mode, and fast check-in (QR).

  • Headcounts are the totals your team enters for an occurrence. See Headcounts report for how to record one.

  • Events with no check-ins and no headcount don't appear in the reports.
