Not seen recently lists people who used to check in but haven't for 2 weeks or more, grouped by how long they've been away. Use it to reach out before someone drifts away.
Open it
Go to Calendar → Reports and click Not seen recently.
What you'll see
At the top you'll see how many people are on the list, for example Not seen recently: 23 people. People are grouped by how long they've been away:
6+ weeks
4-5 weeks
2-3 weeks
For each person you'll see:
Name
Last attended: the date and the event they last checked in to
Weeks away: full weeks since then
Each group shows the first 10 people. Click Show 50 more (or however many are left) to see more, and Show less to collapse the group.
If nobody qualifies, you'll see Everyone has been seen recently.
Who is included
The report uses individual check-ins from all of your attendance history. Headcounts don't count, because they don't say who was there.
Anyone whose last check-in was 2 weeks or more ago is listed. That includes members, visitors and children.
People aren't flagged when their event simply hasn't met since. For example, if someone last came to a monthly meeting that hasn't happened again yet, they won't appear.
Narrow it down
Pick an event with Specific event… to see who has stopped coming to that event. For example, choose your Sunday service and ignore small groups.
Use Only members or Only visitors. Only visitors is a great list for following up with people who visited once or twice.
The period filter is turned off on this tab, because the report always looks at all history up to today.
Export it and follow up
Click Export and choose PDF or Excel file (CSV). The export includes every person in every group, including the ones hidden behind Show more. Share it with your pastors or care team, or use it to plan calls and messages.
⚠️ Note: This report only works if you check people in individually. If you only record headcounts, it will always be empty. Fast check-in (QR) is the easiest way to start collecting individual check-ins.
