Need to pull your members' details for your records, or respond to a member's data request? Gracely admins can export People and giving data directly from the dashboard. This article shows you how, and what to do for individual data and deletion requests.
⚠️ Note: Exporting is available to admins. If your church has export turned off for your account, the export options won't appear — contact your church administrator or start a chat with us.
Export your people directory
Go to People from the left sidebar.
Click the menu (•••) in the top-right of the page.
Select Export directory.
In the export panel, tick the fields to include (name, email, gender, birthday, address, phone, membership type, and more). Use Select All to include everything, including any custom fields your church has added.
Choose a format on the right:
Directory — a printable PDF of member cards.
Excel — a spreadsheet (.xlsx), best for data requests and record-keeping.
Click Export.
💡 Tip: There's also a Mailing Label option in the same menu if you need address labels rather than a data file.
Export only the people you need
The export respects whatever you've already narrowed your list to:
Apply Advance filters and/or a search on the People page first, then open the export — only the matching people are included.
Use the Active / Visitors / Archived filter to scope the export to a particular status.
This is the easiest way to export a single person or a small group: filter or search to just that person, then export to Excel.
Export giving data
For contribution records (useful for finance and for giving-related data requests):
Go to Givings.
Open the menu (•••) and choose Export reports….
Set your date range and options, then export.
The export reflects any filters you've applied to the giving list.
Responding to an individual data request
If a member asks for a copy of the personal data you hold about them:
On the People page, search for the person.
Open their profile to review everything on file (personal, contact, additional, and health details, plus notes).
Use Export directory → Excel with the person filtered in to produce a file of their profile fields.
If they also gave online or in person, export their giving records from Givings → Export reports… for the relevant dates.
Responding to a deletion ("right to be forgotten") request
If a member asks you to delete their data:
Decide whether you need to keep any records first — giving records and tax statements may need to be retained for accounting or legal reasons.
If you're keeping their history but they should leave active lists, archive them instead (see How to set someone as inactive or archive a member).
To permanently remove someone, go to People, click the three dots (⋯) next to them, choose Delete person, and confirm.
⚠️ Note: Deleting a person is permanent and cannot be undone. Make sure you've exported anything you need to keep before deleting.
