How to Create a Batch in Gracely

A batch is a way to group multiple giving entries together, usually from the same service or date.

A batch groups donations together — usually the cash and checks counted after a service — so they're easy to total, reconcile against a bank deposit, and keep organized.

What is a batch?

Churches typically use batches to:

  • Record Sunday in-person giving

  • Group cash and check donations

  • Match donations against bank deposits

  • Keep financial records clean and organized

Each batch has its own total amount and list of contributions.

How to create a batch

  1. Go to Contributions → Batches.

  2. Click Create batch.

  3. Enter a batch name — for example, “Sunday Giving – Jan 12, 2026”.

  4. Select the batch date.

  5. Click Save.

Your batch is created and ready to receive donations.

How to add giving to a batch

  1. Open an existing batch.

  2. Click Add giving.

  3. Select the donor or mark the gift as anonymous.

  4. Choose the fund, method, date, and amount.

  5. Click Add giving.

You can add as many donations to the same batch as you need.

How to deposit a batch

Once a batch has been counted and reviewed, you can deposit it. Depositing records the batch total as an income transaction in your accounting so it can be matched against your real bank deposit — and it archives the batch in one step.

  1. Go to Contributions → Batches.

  2. Find an open batch and click the three-dot menu (•••).

  3. Select Deposit.

  4. In the Deposit Batch window, review the batch name and Total Amount.

  5. Choose the account under Deposit to Account.

  6. Click Deposit & Archive.

⚠️ Note: Depositing creates an income transaction for the batch total and archives the batch, so do this only after you've finished counting and reviewing. The Deposit option only appears on open batches.

Managing a batch

Inside a batch you can:

  • View the total amount and contributors

  • Add or remove giving entries

  • Edit batch details

  • Archive the batch when you're finished (or unarchive it later)

When should you use batches?

Use batches when you:

  • Count in-person giving after a service

  • Enter several cash or check donations at once

  • Want clear records for accounting and reconciliation

Batches are optional, but highly recommended for any church handling in-person giving.
