How to create a Follow-Up in Gracely

Follow-ups help your team stay intentional with care, communication, and next steps for members.

What is a Follow-Up?

A follow-up is a task assigned to a user to take action for one or more members at a specific date and time.
Examples include phone calls, visits, messages, or volunteer outreach.

Gracely also sends automatic email reminders so nothing is missed.

How to Create a Follow-Up

  1. Go to Calendar → Follow-Ups

  2. Click Create new

  3. Select the member or members

  4. Assign the follow-up to a user

  5. Choose a Type (Visit, Phone, Message)

  6. Choose an Action (Pastoral Care, Volunteer Opportunity, First-Time Visitor, etc.)

  7. Set the follow-up date and time

  8. Add optional notes

  9. Click Save

Your follow-up is now scheduled.

Automatic Email Reminders

Gracely keeps your team on track with built-in reminders:

  • 📧 24 hours before the follow-up date, the assigned user receives an email

  • 1 hour before the follow-up time, another reminder email is sent

No manual reminders needed.

Managing Follow-Ups

  • View all follow-ups from the Follow-Ups page

  • Track Pending and Completed items

  • Click a follow-up to see full details

  • Mark it as Done once completed
