Roles & permissions explained (who can do what)

The six predefined roles

Role

What it can do

Administrator

Full access to everything — people, events, giving, accounting, batches, integrations, settings, billing, and user roles.

Pastor

Most features. Cannot access giving, funds, accounting, batches, or pledge accounts. Can manage people, events, forms, communications, and users.

IT

Same access as Pastor — most features, but no giving, funds, accounting, batches, or pledge accounts.

Standard

Day-to-day features (people, groups, families, events, messages, forms). No giving/accounting, settings, billing, follow-ups, or user roles.

Group Leader

Manage events and groups. Limited access elsewhere.

Event Coordinator

Manage church events only (create, edit, oversee).

💡 Tip: Only the Administrator can view and manage giving, accounting, billing, and user roles.

What permissions control

Each role is a set of on/off permissions. The full list:

  • People Management — view and manage people/members.

  • Families Management — manage family records.

  • Groups Management — create and manage groups.

  • Events Management — create and manage events.

  • Messages and Updates — send communications and announcements.

  • Forms — build and manage forms.

  • Funds and Giving — manage funds and view contributions.

  • Pledge Accounts and Batches — manage pledges and giving batches.

  • Accounting — manage accounts, categories, payees, and entries.

  • Appointments — manage appointments.

  • Follow-Ups — manage follow-up workflows.

  • Portal — manage the member portal / church website.

  • Integrations — connect Stripe, PayPal, and more.

  • Settings, Subscription, and User Roles — church settings, billing, and managing users/roles.

Custom roles
