How to Set Up and Manage Bookings

This feature helps your team create and manage 1-on-1 meetings like pastoral chats, volunteer sessions, or any custom time slots.

What Are Appointment Types?

Appointment types let you:

  • Offer bookable sessions like “Talk with Pastor John”

  • Assign a host (e.g., a staff member)

  • Set available days and time slots

  • Define session duration and booking rules

  • Make it public or private

How to Create an Appointment Type

  1. Go to Appointments
    In the sidebar, click Appointments, then Create new.

  2. Fill in Basic Info

    • Name (e.g., Talk with Pastor)

    • Assign Users: Select who will host the meeting

    • Location: Choose where the meeting happens (e.g., via Phone, In-person or Via link)

    • Visibility: Set to Public (anyone can book) or Private (only staff)

    • Description: Add optional notes for the person booking

    Click Save & Next.

  3. Set Your Schedule

    • Select days (e.g., Monday–Wednesday)

    • Add available time slots per day

    • You can add multiple slots per day for breaks

    Click Save & Next.

  4. Configure Settings

    • Session Duration: Choose how long each meeting lasts (e.g., 30 minutes)

    • Schedule Start Date: When bookings can begin

    • Allow Booking Up To: Limit how far in advance someone can book (e.g., 30 days)

    • Optional toggles:

      • Prevent new bookings

      • Prevent cancellations

    Click Create to finish!

View & Manage Appointment Types

Once created, all appointment types show in the Appointments tab. You can see:

  • Host name

  • Booking stats

  • Active dates

  • Edit or delete options under Actions

💡 Pro Tips

  • Keep names short and clear so users know what they’re booking

  • Use Private types for internal meetings or follow-ups

  • Update availability often during busy seasons

  • Combine with Forms to gather info from users before the meeting
